Manage and process your inventory replenishment items, generated automatically from Replenishment Rules or added manually, and create purchase orders efficiently.
Permissions
Overview
The Replenishment tab allows you to:
- View Replenishment Items: See all replenishment items generated by the Replenishment Rules or added manually.
- Add Items Manually: Use the Add Items button to include additional inventory items for replenishment.
- Edit Replenishment Details: Update supplier, order quantity, and price per unit for replenishment items.
- Create Purchase Orders: Generate purchase orders for selected items with a single click.
- Customise View: Adjust visible columns to focus on relevant data.
Adding Items Manually
You can manually add inventory items to the replenishment list by following these steps:
Click the Add Items button at the top right of the page.
The Add Replenishment Items window will appear, displaying a list of available inventory items.
Use the Search bar at the top of the dialog to find specific items by SKU, name, or category.
- Example: Type "flour" to filter items related to flour.
Browse through the filtered list and select the items you wish to add by checking the boxes next to each item.
- Tip: You can select multiple items at once.
(Optional) Use the Select All checkbox at the top of the list to select all displayed items.
Review your selections to ensure you have chosen the correct items.
Once you have made your selections, click the Confirm button.
The selected items will now appear in the replenishment list on the main page.
Note: Upon adding, these replenishment items are automatically populated with the last purchase price and order quantity based on historical data, which you can adjust as needed.
Editing Replenishment Items
You can edit the following details for each replenishment item:
- Supplier: Select the supplier from a dropdown list.
- Order Quantity: Specify the quantity to order.
- Price Per Unit: Enter the price per unit.
Bulk Editing
If multiple rows are selected:
- Editing the Supplier, Order Quantity, or Price Per Unit will prompt an option to Update All selected items.
- A pop-up dialog will appear, allowing you to apply the changes to only the current itemm or all selected items.
Steps for Bulk Editing:
Select Multiple Items: Check the boxes next to the items you wish to edit.
Edit a Field: Click on the Supplier, Order Quantity, or Price Per Unit field of one of the selected items.
Make Your Changes: Enter the new value.
Apply to All: In the pop-up dialog, check the Update all selected items option.
Confirm: Click the Apply button to update all selected items.
Creating Purchase Orders
To create purchase orders for replenishment items:
Select Items: Check the boxes next to the replenishment items you wish to order.
Ensure Details Are Complete: Make sure each selected item has:
- A Supplier selected.
- An Order Quantity specified.
- A Price Per Unit entered.
Create Orders: Click the Create Orders button.
Automatic Supplier Separation:
- If items have different suppliers, separate purchase orders are created for each supplier.
- The relevant items are attached to the correct purchase order.
View Purchase Orders:
- After creation, the purchase orders are visible in the Orders to Send tab.
Replenishment Items Table
The table displays detailed information for each replenishment item:

- SKU: The Stock Keeping Unit, a unique identifier assigned to each inventory item.
- Name: The name or description of the inventory item.
- Category: The category under which the item is classified (e.g., "Beverages", "Produce").
- Supplier: A dropdown menu to select or change the supplier from whom the item will be ordered.
- Site: The location or facility where the item is needed or stored.
- Last Delivered: The date when the item was last received into inventory.
- Size: The packaging size or unit of the item (e.g., a Case of 24 cans would have a size of "24").
- Current Quantity: The current stock level of the item in your inventory.
- Order Quantity: An input field where you can specify the quantity to order for replenishment.
- Price: An input field to enter or confirm the cost per quantity of the item from the selected supplier.
- Total: The total cost for the item, calculated as Order Quantity multiplied by Price.
- Delete Button: An icon button (e.g., a trash can) to remove the item from the replenishment list.
Searching and Filtering
- Use the Search bar to find replenishment items by SKU, name, category, or other details.
- Customise displayed columns by clicking on Active Columns and selecting or deselecting columns.
Navigating to Orders to Send
After creating purchase orders:
- Navigate to the Orders to Send tab to view and manage the newly created purchase orders.
