Complete Purchase Orders

View and manage the history of your completed deliveries, review delivery details, and access records of received purchase orders.

The Delivery History tab allows you to:

• View Completed Deliveries: Access a list of all purchase orders that have been received and marked as complete.
• Search Deliveries: Use the search bar to find specific completed deliveries by PO number, supplier name, or other details.
• Preview Delivery Details: Open a detailed view of each completed delivery, including itemized information.
• Review Delivery Status: Check the status of deliveries, including any discrepancies or disputes that were noted during receipt.

Permissions

Permissions

To view and manage the delivery history, the user account requires specific permissions:

• View Inventory Management: Allows access to the Delivery History tab.
• Edit Inventory Management: Enables viewing detailed information of completed deliveries.

Permissions are assigned to user accounts in Salesforce under the Employee Permissions field. Refer to Employee Permissions for more information.

Viewing Delivery History

You can access and review completed deliveries to keep track of your inventory intake and verify records.

Steps to View Delivery History:

1. Navigate to the Complete Tab: From the Inventory Management Page, click on the Complete tab.

2. Search for Deliveries (Optional):

   • Use the Search bar at the top to filter deliveries.
   • Enter keywords such as PO number, supplier name, or site name.

3. Review the Deliveries List:

   • The table displays all completed deliveries matching your search criteria.
   • Columns include PO Number, Supplier Name, Site Name, Expected Delivery Date, Delivered Date, Total Quantity, Total Price, and Status.

4. Sort Deliveries (Optional):

   • Click on any column header to sort the deliveries ascending or descending based on that column.

Previewing Completed Deliveries

You can view detailed information about each completed delivery, including item-level details and quantities received.

Steps to Preview a Completed Delivery:

1. Locate the Delivery: Find the delivery you wish to preview in the Delivery History list.

2. Review Delivery Details:

   • PO Number: Confirm the purchase order number.
   • Supplier Information: View the supplier's name and address.
   • Site Information: See the site where the delivery was received.
   • Delivery Dates: Check both the expected and actual delivered dates.

3. Click the Preview Icon:

   • In the Preview column, click the preview icon next to the delivery.
   • A modal window will open displaying detailed information.

4. Review Itemized Details:

   • The modal displays a table with all items included in the delivery.
   • Columns include SKU, Name, Category, Batch Size, Unit of Measure, Ordered Quantity, Received Quantity, Price per Unit, and Total Price.

5. Check Status and Notes:

   • Review any notes or comments added during the receipt of the delivery.
   • Verify the status of each item, especially if there were discrepancies.

6. Close the Preview:

   • After reviewing, click the Close button to exit the modal.

Understanding Delivery Status

The Status column in the delivery history provides insight into the completion state of each delivery:

• Completed: All items were received in the ordered quantities without discrepancies.
• Partially Received: Some items were received with discrepancies or not at all.
• Disputed: Discrepancies led to the creation of disputes, visible in the Inventory Disputes tab.

Tips

• Audit Trail: Regularly review the delivery history to maintain an accurate audit trail of inventory intake.
• Dispute Follow-Up: If a delivery has a status indicating discrepancies, ensure that disputes are being managed in the Inventory Disputes tab.
• Data Verification: Use the preview function to verify the accuracy of delivery records and resolve any inconsistencies.
• Search Efficiency: Utilize the search and sort functions to quickly locate specific deliveries, especially useful when handling a large volume of data.

The table displays detailed information for each completed delivery:

• PO Number: The unique identifier for the purchase order.
• Supplier Name: The name of the supplier who fulfilled the order.
• Site Name: The site where the goods were received.
• Expected Delivery Date: The date the delivery was expected to arrive.
• Delivered Date: The actual date the delivery was completed.
• Total Quantity: The total number of units received.
• Total Price: The total cost of the delivery.
• Status: The current status of the delivery (e.g., "Completed", "Partially Received").
• Preview: A button to view detailed information about the delivery.

Searching and Filtering

• Use the Search bar to quickly locate specific deliveries by entering keywords such as PO number, supplier name, or site name.
• The search function filters the delivery list in real-time based on the entered keyword.
