Inventory Transfers

The Transfers tab displays all inbound and outbound transfers for the selected sites that have been created in the last 31 days. Transfers help you track the movement of inventory between locations or sites effectively.

Transfer States

A transfer can have one of the following states:

  • dispatched: The transfer request has been sent but not yet received.
  • refused: The transfer was rejected by the destination site.
  • approved: The transfer has been completed and approved.

Internal Inventory Transfers

Internal transfers occur between locations at the same site and do not require approval from an employee.

How to Perform an Internal Transfer

  1. Open the Inventory Overview page.

  2. Click the Transfer icon button.

  3. Enter the quantity to transfer in the Batches to Transfer and Units to Transfer fields.

  4. Set the destination site to the same site as the origin site.

  5. Select the destination location.

  6. Click the Confirm button.

Once confirmed, the inventory is moved from the origin location to the destination location, and the transfer status is set to approved.


External Inventory Transfers

External transfers occur between different sites. These transfers require approval and follow a more structured process.

How External Transfers Work

When an external transfer is created:

  • The state is set to dispatched.
  • The inventory is removed from the origin site's available stock and held on the transfer record until received.
  • By default, the Expected Arrival Date is set to the current date. You can update this by editing the Expected Delivery column.

Sending an External Transfer Request

  1. Open the Inventory Overview page.

  2. Click the Transfer icon button

  3. Enter the quantity to transfer in the Batches to Transfer and Units to Transfer fields.

  4. Set the destination site to a different site than the origin site.

  5. Select the destination location.

  6. Click the Confirm button.

Once confirmed, the transfer request appears in the Transfers tab on the Inventory Management page.


Receiving an External Transfer Request

  1. Open the Inventory Management page.

  2. Click the Transfers tab.

  3. Click the Receive action button.

  4. Select the receiving location.

  5. Click the Confirm button.

Once confirmed, the action button updates to View , allowing you to review the transfer details.


Refusing an External Transfer Request

  1. Open the Inventory Management page.

  2. Click the Transfers tab.

  3. Click the Receive action button.

  4. Select Refuse from the options slider.

  5. Enter a refusal reason, optionally adding a custom note.

  6. Click the Confirm button.

Once confirmed, the action button updates to Refused .


Inventory Transfers Table

The Inventory Transfers table displays detailed information about each transfer record:

  • Inventory Item Name: The name or description of the inventory item being transferred. This helps in quickly identifying the item involved in the transfer.
  • Origin Site: The name of the site or location from where the inventory item is being dispatched. It indicates the source of the transfer.
  • Destination Site: The name of the site or location where the inventory item is being sent. It indicates the target destination of the transfer.
  • Dispatched Date: The date on which the inventory item was dispatched from the origin site. This helps in tracking when the transfer was initiated.
  • Expected Date: The anticipated date when the inventory item is expected to arrive at the destination site. This aids in planning and ensuring timely receipt of items.
  • Transfer Quantity: The quantity of the inventory item being transferred. This ensures clarity on how much of the item is moving between sites.
  • Total Value: The total monetary value of the transferred items, calculated as Transfer Quantity multiplied by the unit price of the item. This provides a financial overview of the transfer.
  • Receive/View: Action buttons that allow users to:
    • Receive: Confirm the receipt of the transferred items at the destination site.
    • View: Open a detailed view or modal displaying comprehensive information about the transfer, including item details, quantities, and associated documentation.

Searching the Table

The search bar allows you to search the table for specific records. If no matches are found within the displayed list, a database search is performed to find additional transfers. For example, you can search for dates older than 31 days to retrieve historical records.


Action Buttons

Receive

Clicking the Receive button opens the Receive Transfer window, where you can choose to accept or refuse the transfer.

View

Clicking the View button opens the View Transfer window in view-only mode, allowing you to review transfer details.
